Post: Administrator/Bookkeeper
Work Hours: 7 hours per week, flexible – during regular business hours
Location: Aberdeen City centre
Working Arrangements: hybrid working is available
Salary: £23,660 pro rata (£4,732)
Term: This is initially a 12-month post, which may be renewed dependent on funding.
About Us:
sound is a new music incubator based in north-east Scotland encouraging new music creation and discovery. We run the annual soundfestival, as well as year-round activity supporting a wide range of composers, engaging with local communities and providing educational opportunities.
sound aims to give composers the opportunity to experiment, develop and create new works, and to have these works performed and heard. We encourage audiences of all ages and backgrounds to experience all kinds of new music and cross-art form experimentation.
We are strongly influenced by our geographic location, covering both urban areas and remote rural communities, and respond to its specificities and gaps in provision. We often work closely with local arts and other community organisations to share ideas and deliver joint activity to the benefit of the local area.
Position Summary:
The Administrator/Bookkeeper is a part-time position with both administrative and bookkeeping responsibilities to support the staff team. They will work closely with sound’s Director, General Manager and other members of the sound team.
Administrative Responsibilities
- Maintain effective digital and physical filing systems.
- Make sure data collection (audiences, participants, EDI, environmental etc) is kept up-to-date.
- Keep a record of office policies and procedures, and when they need to be updated.
- Assist with the organisation of online and in-person events.
- Check inventory, order, and purchase office supplies.
- Manage incoming and outgoing post and parcel/courier duties.
- Provide any other administrative support to the team as requested.
Bookkeeping Responsibilities
- Maintain accounting (debits and credits) records.
- Prepare payment of invoices to be authorised.
- Invoice for accounts payable.
- Reconcile monthly bank statements.
- Reconcile and process employee expense reimbursements and ensure that proper approvals have been obtained.
- Support the Director in providing information to the external accountant in a timely manner for the production of financial statements.
- Notify Director of accounting discrepancies
Desired experience and skills
- Knowledge/experience of bookkeeping and generally accepted accounting principles.
- A high degree of attention to detail, accuracy, and organisation.
- Proficient use of Google Workspace and Microsoft Office products, including calendar, documents, and excel spreadsheets and a variety of technology tools including Adobe Pro, Zoom and Calendly.
- Good communication skills.
- Ability to handle multiple tasks and meet deadlines.
- Ability to work independently, as well as to cooperate as a team player.
- Previous experience working for charities preferred but not required.
